đź“° About the Role 

The Senior Internal Operations Manager keeps NEXT.io running smoothly day to day. Reporting to the COO, this hands-on role manages and optimizes workflows in Monday.com, drives operational efficiency, and consolidates KPIs from all departments to give leadership real-time visibility.  

You’ll also handle the company’s corporate administration, acting as the main contact for our CSPs in Malta and the UK to coordinate filings, compliance, insurance, trademarks, and KYC. 

This is a hands-on, execution-focused position that keeps NEXT.io organized, compliant, and operationally consistent on a daily basis—connecting teams, maintaining systems, and ensuring the company’s processes and performance data run smoothly.  

 

Key Responsibilities 

Operational Execution & Process Management

  • Manage and execute day-to-day internal operations, ensuring processes are followed consistently across all departments.
  • Map and document workflows (procurement, approvals, onboarding/offboarding, project delivery, etc.) and keep them updated. 
  • Identify operational bottlenecks and implement improvements in collaboration with team leads. 
  • Ensure all processes are clear, traceable, and properly documented. 
  • Maintain cross-department visibility and alignment in line with company frameworks. 
  • Maintain a structured, accessible internal filing system for all corporate, operational, and compliance documents. 
  • Regularly review operational processes and suggest improvements for efficiency, automation, and clarity. 
  • Champion operational excellence, documentation, and accountability across teams. 


Systems, Tools & Integrations

  • Take full ownership of Monday.com as the company’s central operational platform, managing structure, automations, dashboards, triggers, and reporting. 
  • Understand how tools across the organization interlink to spot inefficiencies, duplication, or optimization opportunities. 

 

Corporate Administration & Compliance

  • Serve as the main point of contact for Corporate Services Providers (CSPs) in Malta and the UK for all group entities. 
  • Oversee the company’s corporate administration and compliance, ensuring all filings, records, and obligations are accurate and current. 
  • Coordinate KYC processes, shareholder documentation and annual filings with CSPs. 
  • Oversee company insurance policies, ensuring renewals and proper coverage documentation. 
  • Track and manage trademark renewals, registrations, and other administrative deadlines. 
  • Maintain a well-organized, accessible repository for all corporate and compliance documentation. 
  • Ensure all corporate obligations are met on time across jurisdictions. 

 

KPI Management & Reporting

  • Collect, track, and consolidate KPIs from all departments on a regular basis. 
  • Prepare clear and accurate performance reports for the COO and management team. 
  • Ensure management has the data and insights needed to make informed, timely decisions. 

 

Requirements & Skills 

🎯 Must-Haves 

  • Minimum 5 years of experience in operations, process management, or corporate administration. 
  • Proven expertise in Monday.com, building, managing, and optimizing boards, automations, dashboards, and reporting. 
  • Strong operational and organizational skills with the ability to structure workflows across multiple departments. 
  • Excellent problem-solving and execution skills; takes ownership and delivers consistently. 
  • Understanding of how business functions interconnect
  • Exceptional attention to detail and a proactive, improvement-oriented mindset. 
  • Strong interpersonal and communication skills; able to coordinate effectively across teams. 
  • Experience working with Corporate Service Providers (CSPs) on governance and compliance. 
  • Skilled at consolidating and reporting KPIs and operational performance metrics. 
  • Fluent in English, both written and spoken. 

 

🌟 Nice-to-Haves 

  • Experience in digital, media, or event-driven industries. 
  • Familiarity with HubSpot, Microsoft 365, and related tool integrations. 
  • Experience creating or maintaining SOPs and process libraries. 
  • Analytical mindset; comfortable interpreting dashboards and identifying trends. 
  • Natural drive for structure, clarity, and improvement.
