About the role:
The Office Manager will oversee the daily administrative functions of our office and it will also involve some PA tasks. This role involves coordinating office activities, managing office supplies and equipment, handling various administrative tasks as well as ensuring the office remains compliant with health and safety measures.
What Youβll Do:
Facility Management:
- Ensure the office environment is clean, safe, and well-maintained by managing the relationship with our cleaners.
- Manage office supplies, groceries, and inventory, placing orders as needed.
- Order lunch on a weekly basis for the whole office
- Coordinate with vendors and service providers for office maintenance and repairs.
- Ensure budgets are always respected and provide reporting.
- Handle incoming and outgoing correspondence, including emails, mail, and phone calls.
- Liaise with the finance department to ensure timely processing of financial matters.
Staff Coordination and Support:
- Assist in onboarding and offboarding employees (ordering belongings, giving them access to certain software, listing their assets on our HR system, getting belongings back).
- Organize and facilitate office events, meetings, and engagement activities (e.g., Christmas and summer parties, team building events).
- Serve as the primary point of contact for office-related queries and concerns.
- Conduct office surveys, present feedback, and take action based on the results.
Equipment Management:
- Oversee the maintenance and functionality of office equipment.
- Coordinate with IT support for technical issues and system upgrades.
Compliance and Record Keeping:
- Maintain confidential records and office documentation.
- Ensure compliance with company policies and legal regulations.
- Ensure health and safety obligations are always met.
- Prepare and submit required reports and documentation to management.
PA tasks:
- Ad hoc administration tasks for our CEO.
About You:
- Minimum of 2 years of experience in office management or a similar administrative role.
- English is a must and Maltese is an advantage
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with office management software and tools.
- Strong organizational and multitasking abilities.
- Ability to prioritize tasks and manage time efficiently.
- Ability to handle sensitive and confidential information with discretion.
